Substitute teacher pay
Can’t make a class? Another tutor steps in, and the tutor who actually teaches it is the one credited.
When a class needs cover, certified tutors can offer to take it. Once one is confirmed, the class moves to them and so does the credit for teaching it.
Step by step
From “I can’t make it” to “covered”
A class needs cover
- 1
A tutor opens one of their upcoming classes and requests a substitute. Only one open request is allowed per class, and finished or cancelled classes can’t be covered.
- 2
If a tutor’s leave request is filed, the classes inside it are flagged for admins so they can arrange cover or a new time.
Certified tutors offer
- 3
Every certified, unblocked tutor gets the alert “A class needs a substitute” and can accept it from the cover pool.
- 4
You can’t accept your own request. If two tutors race for one request, the first to claim it wins.
Someone is chosen
- 5
For a one-to-one class, the student sees the offers and picks a substitute, or chooses to reschedule instead.
- 6
For group classes, the tutor or an admin arranges the cover, so one student never decides for the whole room. Admins can also assign a tutor directly.
The class runs, the right tutor is credited
- 7
The covering tutor is told “You’re covering a class” and gets full tutor access to that room, including the class brief.
- 8
Pay for that session is attributed to the tutor who delivers it, not to the one who stepped back.
How it works
Whoever teaches the class is who gets credited
The covering tutor is credited
Pay is read from the class record, so the tutor who is confirmed as substitute is the one paid for that session. The tutor who handed the class off is not paid for a class they didn’t teach.
One record sets the room and the pay
Choosing a substitute updates the request and the class together, in a single step. The class door and the pay record always agree about who is teaching, so nobody is let in, or paid, on a half-finished change.
Every handoff is logged
Assigning, changing or removing a substitute is written to the class history with who did it, the original tutor, the covering tutor and the reason. Admins can always see who was meant to teach and who did.
Missing numbers are flagged, not guessed
If a rate or class fee isn’t set, admins see a prompt to fill it in instead of a made-up figure or a quiet zero. Money is only shown when it’s real.
Who can cover a class
Cover is a trust role, so a few simple checks apply.
Certified tutors
Only tutors with a TYCHR certification can offer to substitute
Someone else
The tutor who owns the class can’t cover their own class
In good standing
Blocked tutors can’t be assigned as a substitute
